SECRETARY
Job Summary:
This position will perform front office receptionist duties and provide clerical support for the Partial Program, Residential Education, and Alternative Education programs, including greeting and directing visitors, typing, filing, records management, and conducting insurance authorizations, if needed.
Essential Functions of the Position:
1. Answer all incoming telephone calls and direct callers to the appropriate staff.
2. Greet visitors in a professional manner ensuring all visitors have signed in and are issued a visitor badge.
3. Responsible for faxing and mailing various documents including treatment plans, releases, records requests, and ensuring outgoing mail is taken to Building One each day for postage.
4. Maintain inventory of office and educational supplies submitting requests for supplies following the established procedure.
5. Respond to requests for educational records by retrieving the record and providing the requested information.
6. Submit requests for educational records from previous school districts for any student admitted to Bethesda’s educational programs.
7. Type various letters and documents associated with student treatment plans.
8. Maintain the calendar of all meeting/conference rooms within the school building to ensure appropriate space is available when needed for meetings, trainings, conferences, testing, inspections, etc.
9. Provide clerical assistance in Partial Hospitalization with breaking down discharge charts and taking them to building one to be cataloged in medical records.
10. Maintain upkeep of all office equipment including filling copier with paper daily.
11. Complete filing for educational records, medical records, and any other records as needed.
12. Type and mail student treatment information as needed to family, county, and school district within the established timeframe.
13. Receive and process report cards quarterly to schools, parents, and caseworkers.
14. Fill in for receptionist at main office as needed.

7. Protect the confidentiality of all student and staff information.
8. Assist other departments as needed during special events or projects.
Required Knowledge, Skill, and Abilities:
1. Proficient typing skills and substantial knowledge of current computer software programs and equipment including Microsoft Excel and Word.
2. Ability to communicate effectively verbally and in writing with a professional tone and demeanor during periods of increased demands on time and attention from various sources.
3. Superior customer services skills with the ability to interact in a positive manner with a varied population of socioeconomic levels and mental/emotional abilities.
4. Ability to work independently with strong organizational skills.
5. Ability to operate effectively in a fast-paced environment as part of a team.
6. Proven ability to maintain confidentiality and high ethical standards of conduct.
Required Education, Experience, and Clearances:
1. High school diploma/GED is required.
2. Experience in a professional office environment preferred.
